To standardize the management of campus visits at Tongji University, safeguard the normal teaching,research,and daily life order on campus, and provide a safe and well organized visiting experience for incoming international students, these Guidelines are formulated in accordance with the university’s actual administrative rules. All visiting groups and individuals shall strictly abide by all provisions herein and cooperate voluntarily with the university’s administrative work.

I. Eligible Visitors and Application Rules

1.These Guidelines apply to foreign national international students. Two categories — group visits and individual visits — shall be governed by respective rules.

2.Group Visits (Mandatory Reservation):Group visits with 10 or more foreign visitors may only be submitted by educational institutions (including secondary schools, universities and other academic establishments). Applications for campus entry from commercial or socialentities,such as intermediaries and travelagencies,will not be accepted. Qualified institutional groups must complete reservations by submitting the official campus visit application form. Groups without advance application or approval shall be denied campus access. Group headcount includes all accompanying and chaperoning personnel, calculated based on the actual number of visitors on arrival.

3.Individual Visits (No Reservation Required):Fewer than 10 casual foreign individual visitors do not need to submit an application form. They may enter campus during regular opening hours by presenting valid original passports. It is prohibited for individuals to make group reservations under false pretences, or to split a larger group into smaller units to circumvent the reservation process.

II. Reservation Timelines and Scope of Acceptance

1.Advance reservation requirement: All group visit applications must be submitted with a minimum of 14 calendar days in advance, to allow sufficient time for university review, site coordination and route planning. Applications failing to meet this two week advance requirement will be rejected directly.

2.Visiting Hours:Campus group visits are available every Tuesday and Friday afternoon. Exact timing and arrangements are subject to the official email reply from the University.

3.Suspension periods: All foreign national group visit applications are suspended during statutory public holidays, winter vacation and summer vacation; no group visit reservations will be accepted in these periods. Reservations may normally be processed on weekends, subject to final university approval.

4.Review process: Submitted applications will be reviewed centrally by the Tongji University International Student Office. Review covers group member information, visit purpose, proposed arrival time and group size. Applicants shall wait patiently for feedback. Campus entry is permitted only after approval. Rejected applications will be notified with specific reasons.

III. Visit Fees and Arrangements

1.Fees: Campus visits for foreign individuals and groups arecompletely free of charge. No admission tickets, guided tour fees or site usage charges apply. Please disregard third party paid agencies offering to submit reservations or arrange campus entry on your behalf.

2.Visit coordination: Tongji University will determine visiting routes, accessible zones, visit duration and availability of guided tours based on on campus conditions on the day of arrival. Applicants may only state preferred time slots. They may not designate exclusive routes, venues or on site services. Final visiting plans are subject to official university notification.

IV. Campus entry and On-site Rules

1.All visitors must carry original valid passports and present them for identity verification and registration at campus security checkpoints. Use of falsified or other persons’ identity documents to gain entry is strictly forbidden.

2.While on campus, visitors shall observe university regulations, behave courteously, refrain from entering restricted areas including teaching buildings, laboratories, office premises and student dormitories. Noise making, littering and damage to public facilities are prohibited.

3.Visiting groups shall appoint designated on site chaperones to supervise group members, ensure personal safety of all participants, and follow instructions from university staff throughout the visit.

V. Visit Cancellation and Disclaimer

1.In cases of extreme weather (heavy rain, typhoons, heat warnings, snowstorms and other severe conditions), major university conferences, competitions, ceremonies, examinations, campus maintenance, site lockdowns or other force majeure events, the university reserves the right to adjust, postpone or cancel previously approved reservations.

2.The University bears no liability for breach of contract, compensation or any consequential losses arising from disruptions caused by such objective circumstances. Affected groups will be notified promptly for itinerary adjustments, and your understanding and cooperation are appreciated.

3.If a visiting group needs to cancel a confirmed reservation for its own reasons, notification must be sent to the International Student Office no later than 3 working days prior to arrival, so that university arrangements can be adjusted accordingly. Groups that fail to show up without notice or cancel last minute without valid reason will be placed on record; their future reservation applications will be subject to stricter scrutiny.

VI. Miscellaneous Provisions

1.All campus visitors shall abide by the laws and regulations of the People’s Republic of China as well as Tongji University rules. Should visitors engage in violations on campus, the university is entitled to terminate their visit immediately and impose relevant disciplinary measures.

2.Tongji University holds the final right to interpret all rules, procedures and arrangements for campus visit reservations.

3.These Guidelines take effect upon issuance. Any subsequent revisions shall follow the latest official university notice.
